Want a free Small Business Profit Checklist?

A one-page checklist of the numbers every small business should know: margins, break-even, true employee cost and more.

How is this calculated?

Every per-order cost is subtracted from the selling price. Break-even ROAS is the revenue per ad dollar at which profit reaches exactly zero.

Payment Processing = Price x Processing % + Flat Fee
Total Cost = Product + Shipping + Advertising + Shopify Fees + Processing + Apps + Refunds + Other
Profit Per Sale = Price - Total Cost
ROAS = Price / Advertising Cost Per Sale
Break-Even ROAS = Price / (Price - (Total Cost - Advertising))
Required Sales = Target Profit / Profit Per Sale (rounded up)

Worked Example

Selling price: $79. Product cost: $30. Shipping: $9. Advertising: $12. Fees: $3.

Total cost = $30 + $9 + $12 + $3 = $54. Profit = $79 - $54 = $25. Profit margin = 31.6%.

At $25 profit per order, you need approximately 40 sales to generate $1,000 in profit, 200 sales for $5,000, and the scenario table shows $12,500 of profit at 500 sales.

How to Calculate Shopify Profit

Take one order and charge it everything it truly costs: the product, shipping, the advertising that produced it, Shopify and payment fees, a per-sale share of your apps, and an allowance for refunds and returns. What survives is your profit per order, and it, not revenue, is the number that decides whether ads should scale.

Advertising cost per sale means your ad spend divided by the orders it drove, not the cost of one click. Refund allowance matters more than most stores expect: if one order in twenty is refunded, that is roughly 5 percent of the price coming back out, and it belongs in the per-order math. The Shopify profit guide walks through each line.

Why Shopify Profit Per Order Matters

Shopify dashboards celebrate revenue, but revenue ignores ad costs and refunds, the two lines that quietly decide whether a store makes money. Profit per order plus break-even ROAS give you an advertising rule you can actually run a store on: above the break-even ROAS an ad set earns money, below it, it donates money to the ad platform.

Pair this with the Pricing Calculator when a product fails the test: it rebuilds the price from costs and a target margin instead of guessing.

How to Improve Your Numbers

Improve the number in order of size: product cost, then advertising efficiency, then shipping. Renegotiate or re-source the product, kill ad sets below break-even ROAS and shift budget to the ones above it, and reduce refunds by fixing the product page promises that cause them. Small price increases, tested carefully, often do more than any cost cut.

Frequently Asked Questions

What is break-even ROAS?

The return on ad spend at which an order exactly breaks even after all its costs. If your ads return more revenue per dollar than the break-even ROAS, orders are profitable; below it they lose money. It is calculated from your own costs, so it differs per product.

How do I work out advertising cost per sale?

Divide an ad campaign's spend by the orders attributed to it over the same period. For a whole-store view, divide total ad spend by total orders, accepting that this blends organic orders into the average.

Should I include my Shopify plan fee?

As a per-sale allocation, yes if you want fully loaded profit: divide the monthly plan and app costs by your monthly orders and put the result in the apps or Shopify fees field. For a quick product check, many sellers leave the plan out and include only per-order costs, as long as they are consistent.

Why does my store show revenue growth but no profit?

Usually because advertising, refunds or shipping rose with revenue. Run your best product through this calculator with honest per-order numbers; the leak is normally visible in one of those three lines.
